The short version: ordinary recording and transcription happen on your iPhone. The corrected transcript goes to the cloud to create a report. Publishing to an organization is an explicit choice and includes the selected audio package. Questions and privacy requests go to business@oofsports.ai.
OOF Inc. ("OOF," "we," "us," or "our") provides Beacon, a scouting application, and this website. This Privacy Policy describes how we handle information when you visit the website, contact us, use the app, or use enabled organization features.
Organizations using Beacon may have their own responsibilities and policies for athlete information. If your organization directs how a published report is used, contact its administrator as well as us about that report. This policy describes the current service; future knowledge graph and team question-answering features will be covered by updated disclosures when introduced.
The information involved depends on the features you use.

Beacon records audio on your iPhone and transcribes it locally using Whisper. During the ordinary recording, transcription, and report-generation workflow, the original audio is not sent to the report service. The corrected transcript is sent through Beacon’s app-attested Google Cloud service to a managed DeepSeek model to generate a structured report.
The report request can include discipline, report-format instructions, and validation context. If a report needs a validation repair, that request may also include the corrected transcript, the prior draft, and validation errors. Athlete catalog records are kept separate from the transcript-derived report evidence and are not automatically added to model prompts.
AI-generated reports are returned to the app for review. This description is not a promise of zero retention by infrastructure or model providers; their applicable service terms, security controls, and processing practices also govern their handling of requests. Device backups and sharing destinations you enable may create copies outside Beacon’s local workspace.
We use information to deliver requested features, generate and validate reports, maintain athlete information, authorize organization access, answer inquiries, provide early-access information, troubleshoot problems, protect the service, and meet legal obligations.
Where a legal basis is required, processing depends on the purpose and circumstances: performing our agreement with you, your consent, compliance with a legal obligation, or legitimate interests such as securing and maintaining the service where those interests are not overridden by your rights. Recording permission, explicit publishing choices, and any consent required for athlete information remain separate choices.
You manage local recordings and other local work on your iPhone. Deleting a local recording does not automatically delete a copy you exported, a device backup, or a version published to an organization. Contact your organization administrator and us if you need help with a published copy.
We retain information held by our services for as long as reasonably needed for the purposes described here, including providing the service, maintaining organization records, addressing support requests, security, and legal obligations. Retention depends on the information, applicable service arrangements, and any required preservation. We do not promise a universal deletion period.
Beacon uses app attestation and, for organization services, identity and membership checks to help restrict access. No storage or transmission system is completely secure. Information may be processed in countries other than your own; where required, applicable transfer safeguards must be in place.
You can control microphone permission in iOS settings, choose what you record, edit or delete local content, decide whether to publish a selected package, and choose whether to contact us. Core local recording and roster functions do not require an organization account.
Depending on where you live and which laws apply, you may have rights to request access, correction, deletion, or a copy of personal information, to object to or restrict processing, to withdraw consent, and to complain to a data protection authority. California residents may have additional rights, where applicable, relating to sale or sharing and sensitive information. Exercising applicable privacy rights will not result in unlawful discrimination.
Send requests to business@oofsports.ai. Describe the information and service involved. We may need to verify your identity or an authorized representative’s authority before acting. We cannot remotely retrieve or erase information that exists only on your device, and legal exceptions may limit a request. Please do not send unnecessary sensitive information to verify your identity.
Beacon is intended for adult professionals working with athletes, rather than as a service directed to children. Scouting information and public results may relate to athletes who are minors. Users and organizations must have the rights, permissions, and lawful basis needed to record, process, and share information about other people, including any required parent or guardian permissions.
Do not use the service to collect personal information directly from children under 13 without arrangements that meet applicable law. If you believe a child has provided information to us improperly, or if you are an athlete or guardian with a privacy concern about an athlete profile or report, email business@oofsports.ai. Include enough context to locate the issue without sharing more sensitive information than necessary.
This website uses locally hosted fonts and images. Its interactive product examples run in your browser with illustrative content; they do not access your microphone or upload scouting observations. Early-access buttons open your email application. No request is submitted until you send the email.
The website does not add marketing or analytics cookies. Hosting or access-control services may use technical logs or cookies necessary to deliver and protect the site. App Store links, email services, and other third-party destinations are subject to their own privacy policies.
We may update this policy as Beacon develops. The date above identifies the latest version. We will provide additional notice or request consent when required for a material change.

These Terms of Service ("Terms") govern your access to and use of the Beacon website, application, and related services (the "Service"), provided by OOF Inc. ("OOF," "we," "us," or "our"). By using the Service, you agree to these Terms. If you do not agree, do not use the Service.
You must be at least 18 and legally able to enter into this agreement. If you act on behalf of an organization, you represent that you have authority to bind that organization. A separately signed agreement with OOF controls if it conflicts with these Terms. Our Privacy Policy explains how information is handled.
Beacon helps users capture voice observations, transcribe recordings, generate and review structured scouting reports, and organize athlete information. Organization access and publishing depend on enabled features and valid membership. Some functions require internet access, a compatible iPhone, and permission to use the microphone.
Early-access and beta features may be incomplete, change, experience interruptions, or be discontinued. Screenshots and interactive examples on this website illustrate workflows and are not live athlete records. The connected team brain, knowledge graph, and source-backed question-answering experience are product plans, not a commitment to deliver a specific feature or timeline.
This website does not collect payment or create a paid subscription. Any fees, subscription terms, or organization commitments will be disclosed separately before you agree to them. Requesting early access does not guarantee an invitation.
Subject to these Terms, OOF grants you a limited, non-exclusive, non-transferable, revocable right to use the Service for authorized personal or organizational scouting activities. We and our licensors retain rights in the Service, including its software, design, and branding. No rights are granted beyond those expressly stated here.
You may not sell or sublicense access, bypass security or membership controls, interfere with the Service, introduce malicious software, or reverse engineer it except where applicable law expressly permits that activity. Do not misrepresent your identity, impersonate an athlete, or claim exclusive rights to an athlete through a roster selection.
You retain the rights you hold in the recordings, observations, transcripts, edits, and other content you provide. You give OOF permission to process, store, transmit, and display that content as needed to deliver the functions you request, secure the Service, and comply with law. Choosing to publish a package authorizes the copying and availability described in the publication confirmation and your organization’s access settings.
You are responsible for ensuring you may record and process the information you provide. Obtain permissions required by applicable recording, privacy, employment, sporting, and safeguarding rules. This includes appropriate authority and any necessary consent when information concerns an athlete who is a minor. Avoid submitting unnecessary health or other sensitive personal information.
You must not upload or share unlawful, abusive, discriminatory, deceptive, infringing, or privacy-violating content. Do not use Beacon to harass people, conduct unauthorized surveillance, or make decisions in a way that violates law. Keep your device and any organization credentials secure.
Beacon uses AI to transcribe or organize observations and generate reports. Output can contain errors, omissions, or misleading wording, including when a report passes automated validation. A validation label is not a guarantee of factual accuracy. Review the transcript, source observations, athlete identity, and report before relying on or sharing the result.
AI output does not replace a qualified professional’s assessment. It is not medical, legal, financial, or official competition-scoring advice, and should not be the sole basis for consequential selection, employment, eligibility, medical, or development decisions.
To the extent permitted by applicable law and provider terms, we do not claim ownership of your generated reports. Output may not be unique or eligible for intellectual-property protection. You remain responsible for how you use it.
Beacon’s catalog is drawn from reviewed public competition data. Names, results, groupings, and history may be incomplete, outdated, or incorrect. Verify material facts with the original competition source. Catalog identity and results are kept separate from the evidence used to generate a scouting report.
Adding someone to My Athletes is a private organizational shortcut. It is not an assertion of ownership, representation, affiliation, consent, or exclusive access to that athlete. Third-party data remains subject to applicable rights. Report identity, result, or privacy concerns to business@oofsports.ai.
Organization publishing is separate from your private local workspace. Confirming publication sends the selected complete package, including audio and transcripts, for access by authorized organization members. You must have authority to publish that information and must follow your organization’s policies.
Published versions and exported copies may remain after you edit or delete a local recording. Editing your private library does not rewrite an existing organization version. Coordinate corrections, retention, access, and deletion requests with your organization administrator and OOF as appropriate.
We are not responsible for independent uses by recipients outside the Service. Keep copies of important work and understand any device-backup or export settings you enable.
The Service depends on third-party platforms and infrastructure, including Apple and Google Cloud. Availability can be affected by those providers, your device, or your network. External sites and services have their own terms and privacy policies.
If you obtain Beacon through Apple, these Terms are between you and OOF, not Apple. Your app license is limited to Apple-branded products you own or control, subject to Apple’s applicable usage rules, including any permitted Family Sharing or volume-purchase arrangements. OOF is responsible for the app and its support, product claims, and intellectual-property claims to the extent required by law. Apple has no obligation to provide maintenance or support.
To the extent applicable, if the app fails to conform to a warranty that cannot lawfully be excluded, you may notify Apple, and Apple may refund the app purchase price. To the maximum extent permitted by law, Apple has no other warranty obligation. Apple and its subsidiaries are third-party beneficiaries of the Apple-specific app-license terms and may enforce them. You must comply with applicable third-party agreements and export or sanctions laws when using the app.
To the extent permitted by applicable law, the Service is provided “as is” and “as available.” We do not warrant that it will be uninterrupted, error-free, suitable for every purpose, or that generated content or catalog data will be accurate. You are responsible for reviewing output and maintaining appropriate copies of your work.
To the extent permitted by applicable law, OOF is not liable for indirect, incidental, special, consequential, or punitive damages arising from use of or inability to use the Service, including lost opportunities, profits, or data. This does not exclude or limit liability that cannot lawfully be excluded or limited, including applicable mandatory consumer rights, fraud, or other non-excludable conduct.
Some jurisdictions do not allow certain exclusions. In those jurisdictions, these provisions apply only to the extent allowed. No provision in these Terms removes rights that applicable law gives you and does not allow you to waive.
You may stop using the Service at any time. We may restrict or suspend access when reasonably necessary to address misuse, security risks, legal requirements, or material breaches of these Terms. Where appropriate and feasible, we will provide notice and an opportunity to address the issue.
Ending access does not automatically remove copies on your device, in exports, in backups, or in an organization’s records. Information requests are handled as explained in our Privacy Policy. Provisions that by their nature should survive termination will continue to apply.
We may update the Service and these Terms as Beacon develops. The date above identifies the latest version. We will provide notice of material changes when required and seek renewed agreement where applicable. Continued use after an update takes effect is subject to the updated Terms to the extent permitted by law.
If a problem arises, contact business@oofsports.ai so we can try to resolve it. These Terms do not impose mandatory arbitration or waive access to courts or remedies provided by applicable law. If a provision is unenforceable, the remaining provisions remain effective to the extent permitted by law.
